How to get the most from your Virtual Assistant

This blog was inspired by reading a Facebook Group post from a lady who had hired two Virtual Assistants and was not happy with the work output of either. In the early days of finding and hiring a VA it’s important the relationship is built and invested in to ensure long-term success. One of the most rewarding aspects of my role is helping business owners reclaim their time and focus on the initiatives that truly can drive their businesses forward. Today, I want to share some insights on how you, as a CEO, can truly maximise the value you receive from your Virtual Assistant. Think of it as a guide to unlocking our full potential to support your success!

Outsourcing aspects of your work to someone else requires trust and clear communication. It’s a partnership, and like any successful partnership, it thrives on mutual understanding and well-defined expectations. Here are some key strategies to ensure you’re getting the absolute most from your Virtual Assistant:

  1. Clear and Consistent Communication: This is the cornerstone of any effective working relationship. Take the time to clearly articulate your needs, expectations, and priorities. Regular check-ins, even brief ones, can ensure we’re both on the same page and that tasks are progressing as you envision. Don’t hesitate to over-communicate initially, especially when delegating new or complex tasks. This is preferable to minimal communication at the start.
  2. Delegate Strategically, Not Just Administratively: While we’re certainly adept at handling administrative tasks, a Virtual Assistant can offer so much more. Think about the recurring tasks that consistently pull you away from high-level thinking. This could include research, report preparation, social media management, initial client communication, or even project coordination. The more strategic the delegation, the more time you free up for your core responsibilities.
  3. Provide Context: When you delegate a task, take a moment to explain the “why” behind it. Understanding the bigger picture allows your VA to approach the task with greater insight and potentially identify more efficient solutions. Empowering us with a degree of ownership over our responsibilities fosters engagement and encourages problem-solving. For example, looking for us to research speaking opportunities? Why not explain your long-term business goal and where those speaking opportunities sit in the vision? 
  4. Establish Clear Priorities and Deadlines: We’re experts at organisation, but we need your guidance on what’s most important and when it needs to be completed. Clearly defined priorities and realistic deadlines ensure that we’re focusing our efforts on the tasks that have the greatest impact on your business goals.
  5. Embrace Documentation and Systems: Investing a little time upfront in documenting your processes and preferences can save significant time in the long run. Whether it’s how you like your emails formatted or the steps involved in a particular report, clear documentation allows your VA to work more autonomously.
  6. Offer Feedback and Recognition: Regular feedback, both positive and constructive, is invaluable for growth and improvement. Knowing what’s working well encourages us, and understanding areas where we can improve allows us to better align our support with your needs.   8. Allow for Boundaries and Working Hours: While we’re dedicated to supporting you, VAs will have boundaries on when they work. Most work normal office hours with weekends off. This may mean you need to allow for this with your task planning if you’re someone who takes different days off in the week. 
  9. Invest in Our Growth and Development: As your needs evolve, so too can the skills of your Virtual Assistant. Most VAs pick up general software as they work however, for a specific or unique tool you may use, or is very industry specific, consider offering full training on this to enhance the VAs skillset. Ultimately, you will benefit.

By viewing your Virtual Assistant as a valuable extension of your team – a partner in achieving your goals – you unlock our full potential to provide meaningful and impactful support, freeing you to focus on what only you can do: lead and grow your business.
