Frequently Asked Questions

My rate for retained, regular support is £40 per hour.

I hear you!  The benefits of a VA are to take away jobs you either can’t do (fiddly tech perhaps), don’t want to do (managing your diary) or don’t have time to do (setting up a course or mailing list).

You may well be able to do all of the tasks you outsource to me, but the benefit you are getting is that volume of time free for other things (& in many cases I should be able to complete the work more quickly!)

What you do with that time is, of course, your choice. Either profit-making tasks or more leisure time.

It can be helpful to remember that if you are a psychologist or coach billing out at - say - £150 an hour but you are spending 3 hours a week invoicing or fiddling with Canva graphics by using my services, you could be spending those 3 "lost" hours on client sessions. 

No, however, I have found myself working with coaches, consultants and therapists predominantly. Other industries I have been lucky enough to work with include a UHNW Family Office, Elite Athlete Management Agency, a leading Wellness Influencer & Insurance firm CEO.

VA rates vary and the current "average" rate (as of 2025) is £35 per hour according to the Society of Virtual Assistants survey. It’s always a pressing question when first looking at hiring a VA as to why the cost is more than an administrative employee. There are a couple of reasons that our rate is higher than an in-house administrator:-

*We pay our own National Insurance, Pension contributions & Tax;

*You provide no equipment i.e. computer, printer etc;

*We are professionals & do not require a period of onboarding as with a new staff member;

*You are solely paying for time worked not breaks. Did you know the average employee is productive for just under 3 hours of their working day –  with a VA you are paying for productivity;

*You do not pay for holiday time – the average employee would have 4 weeks plus bank holidays;

*You do not have statutory legal requirements or health & safety legislation to follow due to self-employment.

You will not struggle to find low cost international VA support - there are many sites that offer "cheap" admin support. Some factors to consider - 

  • Is your VA insured? 
  • Are they registered with the ICO? 
  • Are you sending (emailing) your clients' data overseas to your VA - is your data protected?
  • What protections are in place if things go wrong?
  • Do you have processes in place to retract passwords/remove your VA's access if needed?

There are some tasks that may fit with overseas virtual support or a "cheap" VA option but as your business grows, you may find this does not offer you the level of comfort, skill and experience you require - particularly if your VA is client-facing. 

Away from international VAs you will find UK VAs offering support ranging from as low as £25 an hour upwards. My rate is set to match my skills, range of client experience, and the professional development I have undertaken all of which I bring to your business. 

I use time tracking software (Moxie) to track my work & provide you with a breakdown.

I don't undertake any accounting work outside of invoicing, light bookkeeping, maintaining spreadsheets or basic records. All accounting work should be overseen by a qualified accountant.

I'll send a short summary after the call on how I can help. 

From there, if looking to progress, I will send over a contract. Once signed I will send you a welcome email and we would have a kick-off call, share passwords/access and take it from there.

 

 

Traditional office hours.

Many people struggle with this. I suggest working for a week or two & note down anything you do that has the potential to be completed by someone else. Alternatively, look at the value of the tasks you are doing - should you be dedicating time to the "low value" tasks? Also, look at the "To Do" list or "Idea" list you set for your business - which ones have been on there for months - or years - how can you move the needle forward once you have support. 

Don’t dismiss a task as it could take a little training. That small amount of initial time outlay may reap hours of saved time longer term.

 

The Short Version –

The minimum Charge for work is 1 hour at my rate of £40.

Payments are via Bank Transfer.

Postage, courier or telephone charges are additional.

Yes – I have covered (virtually) for a number of VAs during their holiday or maternity leave. A good handover period & systems/procedures in place can make this seamless, ensuring they step right back in on their return.

If your business is simply too busy to manage with an “Out of Office” message on your PAs inbox this temporary cover can avoid lost leads & admin chaos whilst your PA takes a break.
